Saving in WORD

 

There have been many problems saving in WORD after graphs from Excel are imported, especially when the graphs contain a large number of data points. Here are four techniques that have worked to save WORD documents when trouble arises.

 

1.  Copy the current WORD document and Paste it into a New Document.

 

2.  Copy smaller sections of your WORD document into New Documents for later pasting together.

 

3.  Save your WORD document using the SAVE AS option of Rich Text Format. This may result in a very large file that will not transfer to a floppy disk.

 

4.  Save your WORD document using the SAVE AS option of Web Page or HTML. This option varies depending on whether you are using a computer with Office 97 or Office 2000. In Office 2000, this save option produces both a filename.html file and a folder (with a name similar to the filename that you assign it) with all the pictures saved in a variety of formats. For Office 97, you will probably want to first create a separate folder, then save into it as there will be a filename.html file and a collection of .gifs named Image001.gif, Image002.gif, etc.

 

Experience shows me that #1 rarely works, but it’s great when it does.  #2 is more reliable, but still hangs up on the sections with the largest graphs. Both #3 and #4 usually work (often not seeming to do so) with #3 being substantially larger than any WORD document and often too large for a floppy disk. If you simply click on the file produced by #4, then it will open in your internet browser, which will make further editing much more difficult (unless you are into Web development). To continue work after saving using option #4, you need to first invoke WORD, then open the .html document. (You will need to have the .html file and all the pictures available and properly linked.)

 

I apologize for the inconvenience, but I’ll keep trying to find a better solution.
